Prepare a personal blend after the consultation? How aromatherapists can add a short collection slot, or post it, and keep both visits clear for clients.

If you prepare a personal blend after the consultation rather than during it, split the visit in two: a consultation slot, then a short collection slot a few days later, booked before the client leaves. The consultation stays focused on listening and choosing, you prepare the blend calmly between clients, and the collection visit is where you hand it over and explain how to use it. If the client can't come back, agree on another way to get it to them and say so in your service description.

Why not make the blend on the spot?

Some aromatherapists do blend during the consultation, and for a simple roll-on that can work. A blend that needs weighing, several oils or a base you have to prepare takes longer, and doing it with the client waiting stretches the slot. It also rushes the part that matters most: checking the choice of oils against what the client told you. Preparing afterwards gives you time to check your notes, label the bottle and write the usage sheet.

Two services, clearly described

On Book, a service has a name, a price and an optional description shown on your public page, and each slot belongs to one service with its own start and end. Set up the consultation and the collection as separate services:

Lengths and prices are examples: set your own. If the collection is included in the consultation price, leave its price empty; an empty price isn't shown on your page, while a price of zero is displayed as €0.00. Write in the collection description that it is only for clients who have had a consultation.

How long to leave between the two

Count the time you need to prepare, the time the ingredients need to be ready if any, and your other clients. A few days is a common gap, but it's your call. What matters is that the client leaves the consultation with a collection date, not a promise to call.

  1. At the end of the consultation, open your calendar and choose a collection slot with the client.
  2. Book it yourself: first and last name are required, email and phone optional.
  3. Add a note such as "sleep blend, 10 ml roll-on" so you know what to prepare.
  4. If you enter their email, the client gets a confirmation email and a calendar file.

Grouping collection slots

Short collection visits scattered through the day break up your consultations. Group them: for example half an hour at the end of each day, or a block on one afternoon a week, made of 15-minute slots. Create them on the weekdays you choose and repeat them each week until an end date. Clients who prefer to pick their own time can book a collection slot online.

What happens at the collection visit

The collection is not just a handover. It's where the client learns how to use what you made:

  • how and when to apply or diffuse the blend, and how much;
  • what to avoid, and when to stop and contact you;
  • how to store it;
  • when a follow-up would make sense.

A written usage sheet with the bottle helps the client remember. If a follow-up makes sense, book it at the same time.

When the client can't come back

Some clients live far away or had a video consultation. Decide how you handle this and write it in the service description: sending the blend by post, a pick-up at a shop you work with, or a short video call to explain use once it has arrived. If you offer a video explanation, make it its own short service so the client can book a time.

Should blend collection be its own service?
Yes. A short separate service lets you open 15-minute slots, and you can book the collection yourself at the end of the consultation.

Can a new client book a collection slot by mistake?
They can, since Book doesn't check. Write "for clients who had a consultation" in the description and call anyone who booked it by mistake.
Does the client get a reminder before collecting?
No. They get a confirmation email with a calendar file when the booking is made.
Can clients pay for the blend online?
No. Book doesn't handle payment, so explain in your description how clients pay you.
