Salon managers: one booking page for the whole team
How beauty salon managers can take online bookings for several therapists on one page: one service per person, parallel slots, clear names and holidays.
6 min read
Run your whole team from one booking page by giving each person their own services: "Facial with Léa", "Gel nails with Sam". Each person's slots sit under their services, slots for different people can run at the same time, and clients pick both the treatment and who performs it. When someone is off, you simply don't open their slots. Book has one booking page per business and no separate staff calendars, so this naming is what keeps each person's day clear.
How Book handles a team
On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. There's no staff field on a booking, so the service carries the person. Slots of different services can overlap, so two therapists can each have a 10:00 slot without any conflict on your page.
| Service | Example slot | Example price |
|---|---|---|
| Classic facial with Léa | 1 h | €65 |
| Classic facial with Inès | 1 h | €65 |
| Gel manicure with Sam | 45 min | €35 |
| Full leg wax with Inès | 45 min | €40 |
Durations and prices are examples: set your own.
Naming services so clients choose well
Put the treatment first and the person second, so the list reads by treatment and clients who don't mind who they see can still find what they want. Keep the same treatment name for everyone who offers it, and use the description for differences, such as a therapist who specialises in sensitive skin. If clients ask for anyone available, a plain service such as "Classic facial, first available" can sit alongside, and you decide on the day who takes each client.
Keeping the page readable
Five therapists with eight treatments each make forty services, which is a lot to scroll. Offer per-person services only where clients really choose a person, such as facials, brows or massage, and keep quick treatments under one shared service with slots for the team. Review the list each season and remove treatments nobody books.
Building each person's week
Open each person's slots for the days and hours they work. Slots repeat each week on the weekdays you choose until an end date, so a therapist who works Tuesday to Saturday gets their pattern in a few minutes. For part-time staff, open only their days. Because slots of different services don't block each other, check that one person's services don't overlap in their own day. Leave a few minutes between treatments in each person's day to reset the room and write up notes.
Who receives the bookings
New bookings arrive in the business's email, with the service name and the optional booking note, and appear in your bookings list. Your bookings sync with Google, iPhone or Mac calendars, so you can share a synced calendar with the team or go through each person's day from the bookings list each morning. The service name tells everyone whose client it is.
When someone joins or leaves
A new therapist gets their own services and slots from their first day; copy the descriptions of an existing colleague and adjust them. Open their slots a little lighter at first, with longer gaps, while they learn the salon. When someone leaves, end their weekly slots on their last day, move any later bookings to colleagues from your bookings list, and call those clients. Then remove the departed person's services, so clients no longer see their name on your page.
Holidays, sickness and moving clients
For planned holidays, end that person's weekly slots before the break or skip those dates. When someone is off sick, look at their bookings for the day and move each client from your bookings list to another therapist's slot: rescheduling works across services, so "Facial with Léa" can move to "Facial with Inès". Call each client yourself, since Book doesn't email clients about changes, and clients can't move bookings online.
Phone and walk-in bookings
When a client calls or books at the desk, book them in yourself under the right person's service. First and last name are required, email and phone optional; enter the client's email so they receive a confirmation with a calendar file. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract, whatever the size of the team.
