Driving schools: one online schedule for every instructor
How a driving school can run one online schedule for several instructors: one service per instructor and car, weekly hours, pick-up points, moving students.
6 min read
Give your driving school one online schedule that students book themselves, with each instructor's lessons kept apart: create one service per instructor, such as "Lesson with Karim, manual" or "Lesson with Julie, automatic", and open slots only on the days and hours each instructor works. Students pick their instructor and a time from one booking page, the office sees every lesson in one bookings list, and nobody spends the evening rebuilding the week's planning on a whiteboard.
One service per instructor
Book has one booking page per business and no staff field, so the instructor goes in the service name. Each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. Give each lesson slot one place, so one student books each lesson.
| Service | Example slot | Places | Example price |
|---|---|---|---|
| Lesson with Karim, manual | 1 h | 1 | €50 |
| Lesson with Julie, automatic | 1 h | 1 | €52 |
| Two-hour lesson with Karim | 2 h | 1 | €100 |
| Assessment drive for new students | 45 min | 1 | €40 |
Durations and prices are examples: set your own.
Each instructor's weekly hours
Open each instructor's slots on the weekdays they work, from their start time to their last lesson. Slots repeat each week on the weekdays you choose until an end date, so a term's schedule for the whole team takes a few minutes to set up. Slots of different services can overlap, which is what you want here: Karim and Julie teach at the same time in different cars. If one instructor offers both manual and automatic in different cars, check their two services don't overlap.
Breaks and travel
Leave gaps for lunch and for driving between pick-up points. If an instructor's lessons start from different places, a short gap between slots keeps the next student from waiting at the kerb.
Pick-up points and what students provide
The booking form takes first name, last name, email and phone, plus an optional note that reaches you in the new booking email and appears in the student's calendar file. Say in each description where lessons start, such as the school or a set list of pick-up points, and ask students to write their pick-up point in the note. Students who entered an email receive a confirmation with a calendar file.
Manual, automatic and lesson lengths
If students choose between one-hour and two-hour lessons, create both as separate services per instructor, or keep one length per instructor to keep the page simple. Name each service with the gearbox so students don't book the wrong car.
Moving a student to another instructor
When an instructor is ill or on holiday, move their students from the bookings list. Rescheduling works across services, so a lesson with Karim can become a lesson with Julie at the same time if she's free. Book doesn't email clients about changes, so the office calls or messages each student. For a planned holiday, end the instructor's slots before the dates and restart them after.
Test days and mock tests
On a test day, the instructor's car is busy. Don't open lessons in that window, or book a slot yourself for the student going to the test; first and last name are required, email and phone optional. A separate mock test service per instructor helps students prepare in the last weeks.
The office view
The bookings list shows every lesson across all instructors, with each student's note and contact details. Bookings sync with Google, iPhone or Mac calendars, so the office keeps a full week's planning in one view. Book doesn't send reminders, so a message the evening before helps with early-morning lessons.
Sharing the link
Put the booking link on the school website, in the welcome email after a student signs up and on a QR code at the office. Students can book their next lesson as soon as they finish one, with their instructor still in the car to agree the next date.
Changes and payments
Students can't move or cancel bookings online: they call the office, and you move the lesson from your bookings list. Book doesn't take payments, so say how lessons are paid, such as a prepaid pack at the office. Book costs €5/month for the whole school, everything included: unlimited services and bookings, no commission, no contract.
