Running a holiday football camp: days, places and bookings

Build a holiday camp as one slot per day, each with a fixed number of places, under a service per age group. Parents then either book the days they want, or book the first day and write "full week" in the note, and you add the child to the other days from your calendar. Put everything practical in the service description before registrations open: drop-off and pick-up times, lunch, kit, the pitch address and your weather rule. A parent who knows all that doesn't need to call you.

A holiday camp runs over several days, but families don't all need the same days. Some want the whole week, others need childcare on two days only, others go away midweek. On Book, a slot sits within one day, with its own start and end and its own number of places. A five-day camp is therefore five slots, Monday to Friday, all under the same service. Each slot fills independently: Monday can be full while Thursday still has places. When all of a day's places are taken, that day disappears from your public page.

Each service has a name, a price and an optional description shown on your page. Parents pick a service, then a free slot. The public form books one place per booking: one child, one day.

Hours, places and prices are examples: set your own. If you want both day and full-week prices, create them as two services. For a full week, the parent books Monday and you add the child to Tuesday through Friday yourself.

Book the full-week days as soon as you read the booking. Otherwise, another family can take the last place on Wednesday before you add the child to it.

Put the practical details in the description, where parents read them before choosing:

The public booking form asks for the parent's first name, last name, email and phone, plus an optional note. Ask for the child's first name and age, their club and level if they have one, allergies or health information, who picks them up, and "full week" if they want every day. You read it in your new-booking email; the parent receives a confirmation email for the day they booked.

Each morning, your bookings list shows who is expected that day. A child falls ill, a family leaves early: parents can't cancel online, so they contact you and you cancel or move the booking from your list. The freed place goes back on your public page, where another family can take it. Book doesn't email parents about changes, so confirm them yourself.

At the end of the camp, tell families about your next one or your weekly sessions. Create the slots of the next holidays early so parents can book as soon as they plan their time off. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
