Create each outdoor format as its own service, open sessions at fixed times with a set number of places, and put the exact meeting point and your bad-weather rule in the description. People book one place each, the session disappears from your page once it's full, and everyone knows where to go and what happens if it pours. Outdoors, those two details matter more than anywhere else: without them, a first-timer waits at the wrong gate, or stays home in drizzle while the group trains.

One service per format

A high-intensity circuit, a running club session and a gentle outdoor fitness class for beginners don't attract the same people. Give each its own service with a clear name, a price and a description. On Book, each slot belongs to one service with its own start and end, so people choose the format first and then its times.

Places, lengths and prices are examples: set your own. Book doesn't take payments, so say in the description how people pay: on the spot, by transfer, or with a card of sessions you track yourself.

Places per session

When you create a slot, you set its capacity. Each booking takes one place, and once every place is taken the session is hidden from your page. The page doesn't show how many places are left: people see the session while there is room.

Outdoors, the limit is less about space than about what you can supervise and hear. On a windy field, a coach's voice doesn't carry far, and you want to see everyone's form. Count your equipment too: kettlebells, mats, bands, cones. Twelve mats means twelve places.

What the description must say

  1. Exact meeting point: not "the park", but "at the fountain by the north gate".
  2. What to bring: water, a mat or not, clothes for the weather, a torch in winter.
  3. Level: who the session is for, and whether beginners can join.
  4. Bad-weather rule: sessions go ahead in light rain; cancelled in storms, and how you'll tell people.
  5. Payment: how and when.

The booking form has an optional note. Ask people to mention any injury or health issue you should know about, so you can adapt exercises.

Daylight and seasons

Outdoor timetables move with the seasons. An evening session that is easy in June is in the dark in December. Create your summer timetable and repeat it on the chosen weekdays until an end date around the clocks changing; then create the winter timetable from that date on. Book shows session times in your time zone and displays its name, so there's no confusion when the clocks change.

When the weather turns

If you cancel a session because of weather, cancel the bookings from your list and tell participants yourself, by message or in your group chat: Book doesn't email clients when you cancel or move a booking. If you move the session to another time, move each booking to the new slot from your list. A group chat for regulars makes last-minute changes easier.

Regulars and drop-ins

Some participants come every week; others drop in when they can. Regulars can book several weeks at once online, one booking per session. You can also book a regular into the coming weeks yourself from your calendar, with their name and email; they get a confirmation and calendar file for each. Participants can't cancel online, so ask them in the description to tell you if they can't come, so you can offer the place to someone else.
