Sprinkler fitters: scheduling inspection visits by area
How independent sprinkler fitters can schedule periodic inspection visits: area days, site access in the booking note, slot length, reports and repairs.
6 min read
Schedule sprinkler inspections as booked visits grouped by area and by site size, rather than fitting each one in when a client remembers to call. Keep a service per type of visit, put area days in your week, ask in the booking note for the site address, the contact on site and how to reach the valve set, and book the next periodic visit before you leave. Clients then get a confirmed date, your rounds stay short, and repairs found during an inspection go into their own follow-up slot instead of eating the rest of the day.
Who this works for
Sprinkler fitters employed by installers on large projects have their work planned by the employer. This approach is for independent fitters and small fire protection firms who look after the maintenance of their own clients' systems: shops, small warehouses, offices, care homes, residential blocks. The periodic inspection rhythm and what each visit must cover come from the applicable standard and the insurer; your booking page only organises when you go.
One service per type of visit
| Service | Example slot | Example price |
|---|---|---|
| Periodic inspection, small site | 2 h | €180 |
| Periodic inspection, large site | 4 h | €350 |
| Follow-up repair visit | 2 h | €160 |
| Report review meeting | 30 min | €40 |
Durations and prices are examples: set your own. On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service and sits within one day, with one place per slot. Separate services tell you from your bookings list how long each visit will take and whether you need parts in the van.
Area days
Driving across the region for each inspection wastes the day. Give each part of your area its own days, list the towns each day covers in the service description, and open slots only on those days, repeated weekly until a date. Leave travel time between slots rather than opening them back to back. When a client books outside their area's day, call them and move the visit to the right day from your bookings list, then confirm it yourself, since Book doesn't email clients about changes.
Site access in the booking note
The booking form takes the contact's first name, last name, email and phone, plus an optional note you read in your new booking email. Ask in the description for:
- the site address and the entrance to use;
- the name and phone of the person on site, if different;
- where the valve set and pump room are, and who holds the keys;
- opening hours, and times when the alarm or water can't be interrupted;
- parking or loading bay access for the van.
Keep the note practical. Plans, previous reports and the system's details are better sent by email after booking.
Booking the next periodic visit
Periodic inspections come round at regular intervals, which is exactly what is easy to forget. At the end of each visit, book the next one yourself from your calendar in the matching service, at the interval the client's contract sets. First and last name are required, email and phone optional; enter the contact's email so they receive a confirmation with a calendar file. Book doesn't send reminders, and repeats slots weekly only, so booking the next date yourself is what keeps the rhythm.
Repairs found during an inspection
A leaking head, a faulty gauge or a valve that needs replacing shouldn't stretch an inspection slot into the next client's time. Note it, agree the work with the client, and book a follow-up repair visit on a day you're in that area, once the parts are in. If the fault affects the system's protection, say so clearly and follow the procedure the standard and the insurer require, which may mean coming back sooner than your next area day.
Reports
Some clients want the report explained, especially when it lists work to do. Offer a short report review meeting, by phone or video, that they can book on your booking page. Clients can't move bookings online: they contact you, and you reschedule or cancel from your bookings list. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
