Running regular window cleaning rounds by area

Every four or eight weeks, street by street: how window cleaners can plan round days by area, book regular customers ahead and let new ones book online.

Give each area its own service and its own round days, create the slots for each round date, and book your regular customers into the next round before you leave their street. New customers in that area can then book the free slots online. Book repeats slots weekly on the weekdays you choose, so for a round every four or eight weeks, create each round day's slots on its date rather than repeating them. Your regulars keep their rhythm, you drive one area per day, and new customers fill the gaps.

One service per area

On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service with its own start and end. Naming services by area lets customers pick theirs and only see the days you're on their streets:

Areas, lengths and prices are examples. Price by house type if you prefer, and describe what's included: frames, sills, conservatory roof or not.

Creating round days

  1. Choose the day you work each area, for example the first Tuesday of the cycle for the north side.
  2. Create that day's slots under the area's service, back to back, with a short gap for moving between houses.
  3. Do the same for the next round dates, a few rounds ahead.
  4. For a weekly round, such as shopfronts, you can repeat the slots on that weekday until an end date instead.

Creating a few rounds ahead lets customers book further out, and gives you a clear view of which streets are full and which still have room.

Booking regulars into the next round

Regular customers shouldn't have to book every time. When you finish a street, book each regular into their slot on the next round from your calendar. First and last name are required, email and phone optional, and a note field holds details such as "side gate code 1234, dog in garden". If you enter their email, they get a confirmation email and a calendar file, so they know when you're coming.

A booked slot with one place is full and no longer shows on your public page, so new customers only see what's really free.

Access, pets and being out

Outside-only cleans rarely need the customer at home, but you need to get in. Ask new customers in the description to write access details in the booking note: gate, side passage, parking, a dog that must be kept in. The note comes to you in the new-booking email. It also appears in the calendar file the customer receives, so they can check what they wrote.

Rain and moved rounds

Heavy rain or frost can push a round back a day. Customers can't move bookings online, and Book doesn't email them when you do, so if a whole round moves, move the bookings from your list and send your customers a message yourself. For outside cleans where the customer isn't home, a message the evening before saves questions.

Book doesn't take payments, so say how you're paid: bank transfer after the visit, an envelope left out, cash on the day. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
