How to prepare clients for a window fitting day

Clearing sills and curtains, dust, open walls, pets, weather, making good and checks at the end: how window installers prepare clients for fitting day.

A window fitting day goes smoothly when the client has cleared the way and knows what to expect. Send a short preparation list a few days before: take down curtains and blinds, clear sills and the space in front of each window, move fragile items, and plan for pets and children while openings are open. Tell them the order in which you'll work, roughly when each room will be done, what making good is included, and that you'll walk round with them at the end to check every window.

What the client should do before you arrive

  1. Curtains, blinds and poles: take them down, or agree that you'll do it and where to put them.
  2. Sills and furniture: clear plants, photos and ornaments; move furniture about a metre back from each window.
  3. Outside: clear pots and garden furniture under the windows, and leave access to side and back of the house.
  4. Alarm: window sensors may need disconnecting; ask the client to contact their alarm installer if needed.
  5. Parking: keep a space for the van close to the door, as frames and glass are heavy.

Dust and protection

Removing old frames creates dust and debris. Explain how you protect floors and furniture with dust sheets, and which rooms will be affected at which time. Ask the client to close doors to rooms you're not working in. A tidy finish with a vacuum at the end of each room is part of the job; say so, so the client knows what to expect.

Open walls, security and weather

Plan the order so no opening is left without a frame overnight. If the weather turns, explain that you may pause, cover openings or move a day rather than fit in heavy rain or strong wind. For an occupied home in winter, fit room by room so the house loses as little heat as possible.

Pets and children

An open window frame is an easy way out for a cat and a hazard for a toddler. Ask the client to keep pets in a closed room or away for the day, and children away from the rooms being worked on.

Noise and neighbours

Cutting out old frames and drilling fixings is noisy. Suggest the client tells close neighbours, especially in flats or terraced houses, and agree a start time that respects local rules on working hours. Shared walls and access through a neighbour's garden need their agreement before the day.

Making good

Say in advance what finishing is included: sealant inside and out, trims, new sills, plastering around frames if offered. Make clear what isn't, such as redecorating the reveals, so the client can book the decorator if needed. Leave rooms clean and old frames removed from the property.

The final walk-round

  • Open, close and lock every window and door with the client.
  • Show how tilt and turn or other mechanisms work, and how to clean the glass.
  • Hand over keys for locking handles and leave spares.
  • Give care instructions for frames, seals and drainage slots.
  • Note any snag and agree a date to come back.

Aftercare

New windows can need small adjustments once the building settles and the seasons change. Tell the client how to reach you and offer an adjustment visit if a sash catches, a handle stiffens or a door drops.

Does the client need to be home all day?
Someone should be there at the start and for the final walk-round. Agree the times in advance.
What if it rains on fitting day?
Light rain may be manageable with covers; heavy rain or strong wind is a reason to move the date. Tell the client as early as you can.

Say in the quote what finishing you include. Redecorating reveals can be left to the client or a decorator.
