Auditors: booking fieldwork interviews with client staff
How financial auditors can let client staff book fieldwork interviews online: one service per audit area, slots in fieldwork, what to prepare and follow-ups.
6 min read
During fieldwork, let client staff book their interview slots from a link the finance contact shares internally: one service per audit area, such as payroll, purchasing or revenue, with slots only in the fieldwork weeks. Say in each description who should attend and which documents to have ready. Interviews spread across the week instead of piling up on the last day, staff arrive prepared, and your team spends less time chasing people for a meeting.
One service per audit area
Interviews with the payroll manager, the purchasing lead and the head of sales cover different ground and documents. On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. Leave the price empty: interviews are part of the engagement.
| Service | Example slot | Places |
|---|---|---|
| Fieldwork interview, payroll | 45 min | 1 |
| Fieldwork interview, purchasing and payables | 45 min | 1 |
| Fieldwork interview, revenue and receivables | 1 h | 1 |
| Walkthrough of IT controls | 1 h | 1 |
Lengths are examples: set your own. Name services with the client's name if you run several audits at once, such as "Acme audit: payroll interview".
Slots during fieldwork only
Open slots for the dates your team is on site or available remotely, and nothing outside. Slots repeat each week on the weekdays you choose until an end date, so set the end date to the last day of fieldwork. When a slot is booked, it leaves your page, so two staff can't take the same time with the same auditor.
Several auditors on the team
If a senior and an assistant run interviews in parallel, give each their own services, such as "Payroll interview with Claire". Book has one booking page per firm and no separate staff calendars, so the service name tells everyone who leads each interview, and slots of different services can run at the same time.
What staff should prepare
The booking form takes first name, last name, email and phone, plus an optional note that reaches you in the new booking email and appears in the employee's calendar file. Say in each description:
- who should attend, for example the person who runs the process day to day;
- the documents to have ready or send before, such as reconciliations or sample invoices;
- whether the interview is on site, by phone or by video;
- how long it lasts and what it covers.
Ask staff not to put confidential figures in the note; documents go through your usual secure exchange.
Sharing the link
Send the booking link to the client's finance contact with a short message they can forward to staff. Your public page lists every open service, so the client name in each service tells other visitors these slots aren't for them. Send a reminder of the link a few days before fieldwork starts, so staff book before the first day.
Planning the week
Put the interviews that unlock other work early in the week: the walkthroughs of key processes and controls. Leave later slots for areas that depend on documents still being prepared. Keep at least half of each day free of interviews, so your team has time to test samples and write up notes between meetings.
Remote audits
When fieldwork is partly remote, offer the same services by video, and say in each description that screen sharing will be used to look at documents together. Remote slots can be spread over a longer period than on-site days.
Follow-up questions
Interviews raise follow-up questions. Book a short follow-up yourself from your calendar while the topic is fresh; first and last name are required, email and phone optional, and the employee receives a confirmation with a calendar file if you enter their email. Book doesn't send reminders, so that calendar entry is what keeps the follow-up on track.
Changes
Staff can't move bookings online: they contact you, and you move the interview from your bookings list and confirm it yourself, since Book doesn't email clients about changes. Book doesn't create video links: put your meeting link in the description. Your bookings sync with Google, iPhone or Mac calendars, so the team sees the week's interviews. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
