Life coaches: scheduling a coaching programme over months
A coaching programme runs over weeks or months, for example every two weeks. How to book all the sessions, handle pauses and changes, and keep the rhythm.

A coaching programme keeps its momentum when every session is in the calendar from the start. Once the client commits, agree the rhythm, for example a session every two weeks, and book all the programme's sessions yourself before the first one takes place. Add short check-ins between sessions if your programme includes them, plan around holidays in advance, and when life gets in the way, move sessions rather than letting gaps open up. The client always knows the next date, and so do you.
Why programmes lose momentum
Coaching works through repetition: reflect, act, review, adjust. When each session is booked one at a time, a busy week turns into a missed month, and the client arrives at the next session having lost the thread. The programme you sold as three months becomes five, with less progress.
The scheduling fix is simple: decide the dates together at the start and put them all in the calendar. Changing a date later is easy; finding a new one from nothing is where momentum gets lost.
Book every session at the start
On Book, each type of session is a service with its own price and optional description, and you open slots for each at the length it takes. When you create slots, you can repeat them weekly on the weekdays you choose until an end date. A fortnightly rhythm isn't a repeat option, so for a programme every two weeks, open your usual weekly coaching slots and book the client into every other week yourself from your calendar. Each booked slot disappears from your page, so no one else can take it.
Send the client the full list of dates by message after the first session, so they can block them in their own calendar.

Keep the same weekday and time
A client who coaches every other Tuesday at 18:00 builds a routine around it. Changing the time every session makes each one a negotiation. Where possible, pick a slot that works for the whole programme, and choose a weekday that isn't often hit by public holidays. If the client works shifts or travels, agree a few alternative times instead of one fixed slot.
Holidays and pauses
- Ask about the client's holidays and busy periods at the kick-off, and skip or move those sessions before you book.
- For your own holidays, stop your repeating slots at the start of your leave and open them again when you're back.
- If a client needs a pause, move the remaining sessions from your bookings list rather than cancelling them, so the programme still has an end date.
- Say in your programme description how many sessions can be moved and with how much notice.
Moving a session
Plans change. When a client asks to move a session, reschedule it from your bookings list to a free slot, ideally in the same week. Book doesn't email the client when you change a booking, so confirm the new time by message. If you cancel one yourself, do the same, and offer the replacement straight away.
Book doesn't send reminders; if your clients appreciate one, send a short message the day before, with the video link if you coach remotely.
Group circles alongside one-to-one
Some coaches add group sessions to their programmes. A slot can have several places: set the number of places to your group size, and each participant books one. For programme clients, you can book their place yourself. When the group is full, the slot no longer shows on your page.
Video, in person, or both
A programme can mix formats: an in-person kick-off to build the relationship, then video sessions that are easier to keep in a busy week. If you offer both, create a service for each format with its own slots, and when you book the programme, choose the format agreed for each date. For video sessions, send the link with your confirmation message. Clients abroad see times in your business's time zone, with its name, on your page; repeat the time in their time zone when you send the dates.
Closing the programme
The last session is booked from the start, like the others, so the end of the programme is visible from day one. Use it to review progress and decide what comes next: a new programme, occasional check-ins the client books from your page, or a clean end. Book doesn't sell packages or take payments; say in your programme description how it's priced and paid.
