How to stop double-booking your event dates
DJs, performers, planners and event staff: one slot per date, holds for clients who hesitate, and one place to record every confirmed gig or event day.

Double bookings happen when dates live in several places at once: messages, a paper diary, a phone calendar, an email thread with a venue. The fix is to keep one place where a date is either free or taken. Give each event date a single slot with one place, so it disappears from your booking page as soon as it's booked. Record every date agreed by phone or message in that same calendar, including holds for clients who haven't decided, and never offer the same day through two different services.
Why event dates get double-booked
Event work is made of few, high-stakes bookings. A DJ may have a handful of Saturdays a month, a wedding performer a few dozen dates a season. Each one is agreed differently: a call from a couple, a message from a venue, an agency email, a form on your website. If each channel keeps its own record, the risk isn't that you forget a date, it's that you say yes to the second request before checking the first.
The answer isn't a more careful memory, it's one source of truth that every request goes through.
One date, one slot, one place
On Book, create a service for your event format, for example "Wedding DJ set" or "Private party performance", with a description of what's included. Then open one slot for each date you're available, covering the hours of the event, and keep one place on it. When a client books that date, the slot is full and it no longer appears on your page: nobody else can take it.
Slots sit within a single day. For an event that runs past midnight, open the slot until the end of the day and write the real finishing time in the service description. For a multi-day festival or event, book each day, or book the first day and explain the rest in the description.

Don't offer the same day twice
Slots of different services aren't linked. If you offer both "Wedding DJ set" and "Corporate evening" on the same Saturday, a booking on one doesn't remove the other. Two simple ways to avoid this:
- use a single service for all event dates, and let the client describe the event in the note;
- or, if you keep several services, open each date for only one of them.
If you do open the same day in two services, book the other slot yourself as soon as one is taken, so it isn't offered anymore.
Holds for clients who hesitate
A couple wants your date but is still comparing two venues; an agency needs a few days for its client's approval. A hold lets you keep the date without losing it to someone else. Book the slot yourself from your calendar, write the hold's end date and the client's name in the note, and set yourself a reminder. If the client confirms, keep the booking; if not, cancel it and the date is offered again.
Tell the client clearly how long the hold lasts. Book doesn't send reminders or emails when a booking is cancelled, so the follow-up is yours.
First calls before the date
For bigger events, some clients want to talk before committing, and you may want to check the venue, the music style or the number of guests first. Open a separate short service for first calls, on weekday evenings for example, and keep event dates for clients who have already talked to you. The booking form asks for first name, last name, email and phone, plus an optional note, where the client can give the date, the venue and the type of event.
Keep everything in the same calendar
