Fitness studios: scheduling several coaches and rooms
How fitness studios with several coaches take bookings on one page: classes and personal training per coach, places per class, rooms, cover and absences.
6 min read
A studio with several coaches can run its whole timetable from one Book page. Give each class a service with the coach's name in it, such as "HIIT with Maya", and set the places per class from the room and the equipment. Give each personal trainer their own one-to-one service. Members book one place each, full classes leave the page, and when a coach is off you move their members to a cover class or another coach. The studio pays €5/month in total.
How a team works on one page
Book gives one booking page per business. Each service has a name, a price and an optional description shown on the page, and each slot belongs to one service, sits within one day and has its own number of places. There's no staff field, so the coach's name goes in the service name. Slots of different services can run at the same time, which is what lets a yoga class and a personal training session happen in parallel.
| Service | Example slot | Places | Example price |
|---|---|---|---|
| HIIT with Maya | 45 min | 14 | €14 |
| Vinyasa yoga with Jo | 1 h | 12 | €15 |
| Reformer Pilates with Jo | 50 min | 6 | €28 |
| Personal training with Leo | 1 h | 1 | €55 |
| Free trial class, any coach | 45 min | 2 | Free |
Durations, places and prices are examples: set your own.
Places per class
Set each class's places from what limits it: mats in the room, bikes, reformers, racks, or how many people one coach can watch safely. Each online booking takes one place, and when the last place goes, the class leaves your page. The page doesn't show places left, so if you want to keep a spot for a drop-in, set the capacity one lower and book that person yourself from the calendar.
Rooms and equipment
Book doesn't know your floor plan. If two classes need the same room, or a personal trainer needs the rack during a class, Book won't flag it, since slots of different services can overlap. Build the timetable room by room first, then create the slots from it, and give personal training slots only the hours when a space is free.
Building the weekly timetable
Slots repeat each week on the weekdays you choose until an end date, so "HIIT with Maya, Monday and Wednesday 7:00" is one series and "Yoga with Jo, Tuesday and Thursday 18:30" is another. Set the end date to the end of the term or season, and create the next timetable before it runs out. When a coach's days change, delete the remaining slots of their old series and create a new one.
Personal training per coach
Each trainer gets a one-to-one service with one place per slot, opened in the hours they're available between classes. Clients who train with the same coach every week can be booked straight into the next sessions from the calendar; first and last name are required, email and phone optional, and with an email entered they get a confirmation with a calendar file for each date.
Cover when a coach is off
If another coach takes the class, keep the slot and tell the members who's teaching; if the class moves or is cancelled, rescheduling works across services, so you can move each member into another class with free places. Members can't move or cancel online, and Book doesn't email clients about changes, so message the class list yourself. Delete the absent coach's free slots for the days they're away.
Memberships and payment
Book doesn't take payments or manage class packs, so run memberships the way you do today and say in each class description how members pay: monthly membership, a pack of ten, or pay at the door. A price shown on the class is the drop-in price; leave it empty if the class is for members only and say so in the description.
What the description should say
Level, what to bring, which room, and anything the coach needs to know before the class: ask members not to put health details in the note, since it appears in their calendar file, and to tell the coach in person instead. Every booking syncs with the studio's Google, iPhone or Mac calendar. Book costs €5/month for the studio, everything included: unlimited services and bookings, no commission, no contract.
