Renting a treatment room by the half-day means paying for hours you must fill. How to open slots only when you have the room and handle two locations.

When you rent a treatment room by the half-day, your booking page should only offer the hours you actually have the room. Open slots on those half-days and nowhere else, repeat them weekly for as long as your rental runs, and fill them as fully as you can, since you pay for the room whether patients come or not. If you work in two places, make a service per location so patients book the right address, and change your slots as soon as your rental changes.

Why rented half-days change the planning

Working from a shared practice where rooms are rented by the half-day or by the hour keeps costs flexible, but it adds two constraints. You can only see patients when the room is yours, so an appointment outside those hours is simply impossible. And every rented hour costs the same whether it's full or empty, so gaps are paid for.

A booking page that follows your rental avoids the first problem and helps with the second: patients only see times that work, and they can book any of them day or night.

Open slots only on your rented half-days

On Book, each type of session is a service with its own price and optional description, and you open slots for each at the length it takes. When you create slots, you can repeat them every week on the weekdays you choose, until an end date. Set that repetition to match your rental: Tuesday morning and Thursday afternoon, for example, until the end date of your agreement. If your rental is renewed, create the next series from that date.

Within each half-day, lay out your sessions so they fill the whole period: a first consultation at the start when you're fresh, then follow-ups, with a few minutes between patients to change the couch and air the room.

Two locations

Some practitioners rent in two practices to reach more patients, for example one in town and one in a nearby village. Patients need to know where they're going before they book. Create a service per location, with the address, access and parking in its description, and open its slots only on the days you're there. A patient then picks the location, sees its days, and books.

Slots of different services can overlap, and a booking on one doesn't block another service's slot at the same time. Since you can't be in two practices at once, make sure the two locations' slots never fall on the same half-day.

Filling the rented hours

  • Rebook patients at the end of each session into your rented half-days, so the next weeks fill before new patients even look.
  • Share your booking page link where new patients find you: your website, your listing, the practice's own communication if it has any.
  • Watch which half-days stay empty. If one is always half full, consider swapping it for a busier time when your rental allows it.
  • If a half-day is still empty close to the date, a message to patients due a follow-up can fill it.

Set-up and handover time

A rented room often needs setting up when you arrive and clearing before the next practitioner comes in: your couch cover, needles and sharps container, moxa or cups, towels, and whatever makes the room yours for a few hours. Don't open your first slot at the exact start of the rental, and end your last slot a little before it finishes. Those minutes aren't lost; they're what lets every session start on time and the handover go smoothly with the colleague who uses the room after you.

When your rental changes

Rentals change: a new half-day, a lost one, a move to another practice. Update your slots as soon as you know. For future bookings on a half-day you no longer have, contact the patients, reschedule from your bookings list into your new times, and tell them yourself, since Book doesn't email them when you change a booking. Update the address in your service descriptions on the day of a move.

Patients book without an account and receive a confirmation email; you receive an email for each new booking. Book doesn't manage room rentals or payments; it only shows the slots you open.
