Psychological assessments: how to schedule every session

A psychological assessment runs over several sessions: interview, testing, feedback. How clinical psychologists can schedule the series and keep it discreet.

Let clients book only the first step online, the intake interview, and schedule the rest of the assessment yourself once you know what it involves: the testing sessions, time for scoring and writing, and the feedback session. Each step is its own service with its own slot length, and you book the series from your calendar with the client at the end of the interview. That way the client has every date in writing and you never find a three-hour test battery squeezed into a 50-minute slot.

Only the intake is public

The intake interview is the entry point: the client explains why they want an assessment, you decide which one fits and how many sessions it needs. Open intake slots on your page and describe the service in plain words: who it's for, how long it lasts, what happens next.

Testing sessions and feedback sessions shouldn't be booked cold. Book has no hidden services, so the simplest approach is to create those slots when you need them and book the client into them straight away. A slot with one place disappears from your public page as soon as it's booked, so nobody else can take it.

Book the series at the end of the intake

Once you know the plan, agree the dates with the client and create each booking from your calendar: first and last name are required, email and phone are optional. If you enter the client's email, they receive a confirmation for each session with a calendar file. Book doesn't send reminders, so these confirmations are the client's written plan.

Protect your scoring and writing time

Scoring, interpretation and the report take time that no client sees. Leave the gap you need between the last testing session and the feedback session, and don't open public slots in the hours you keep for writing. Calendar sync with Google, iPhone or Mac shows your sessions next to the blocks you plan for yourself.

Testing sessions that last

Long sessions need planning around the client's attention and yours:

  • put breaks inside the slot length, rather than adding an unplanned overrun;
  • split a very long battery over two sessions on different days, since a slot sits within one day;
  • schedule testing at a time of day when the client is at their best, as you judge it;
  • say in the booking note what the session covers, for example "testing 1 of 2".

Keep booking details discreet

The note on a booking appears in the new booking email you receive and in the calendar file the client receives. Keep it to planning: "testing session 2", "feedback". Clinical information, test results and reasons for referral belong in your records, not in the booking. In the description of the intake service, ask clients not to write personal health details in the booking form's note, and to keep them for the interview.

When a testing session has to move

A client who is ill or exhausted on the day won't give you reliable results, so moving a testing session is sometimes the right call. Clients can't reschedule online: say in the service description that they should call or email you if they can't come. Then move the booking from your bookings list, to a free slot of the same length, and confirm the new date yourself. Check that the gap before the feedback session still leaves you enough writing time, and move the feedback too if it doesn't.

The feedback session

Book the feedback session together with the testing sessions, at a date that leaves you enough time to write. If the client wants a relative to join, they can come along; the booking is still for one person. If the report takes longer than planned, reschedule the feedback from your bookings list and tell the client yourself: Book doesn't email clients about changes.
