Phlebotomists: booking workplace blood draw days
How mobile phlebotomists can run workplace blood draw days employees book online: one service per day on site, short slots, the room, privacy and lab runs.
6 min read
Run blood draw days at a company's premises with short slots that employees book online: create one service for the on-site day, open consecutive slots from the morning, and give the employer the link to share with staff. Say in the description where the room is, how long a draw takes, what to bring and whether fasting slots come first. Employees book a time that fits their meetings, you see a full list before you arrive, and the day runs without a queue outside the room.
One service per day on site
A workplace day is a fixed date at a fixed address, separate from your home rounds. On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. Give each slot one place, so one employee books each draw.
| Service | Example slot | Places |
|---|---|---|
| Workplace blood draws, fasting, business park | 10 min | 1 |
| Workplace blood draws, business park | 10 min | 1 |
| Workplace blood draws, logistics site night shift | 10 min | 1 |
Durations are examples: set your own. Leave the price empty if the employer pays, and state in the description who pays.
Naming the service
Your public page lists every open service, so other visitors can see a workplace day too. Name it by site or area rather than by company if the employer prefers discretion, and say in the description that the slots are for that site's staff. Once the day is over, its slots have passed and no times remain to book.
Short, consecutive slots
Open slots one after another from the start of the day, with a short break every couple of hours for labelling, packing samples and a coffee. If two of you work in parallel, give each person their own service, so each list shows who sees which employee. When a slot is booked, it leaves the page, so employees pick from what's left.
Fasting slots first
If some tests require fasting, open a separate fasting service for the first hour of the day, and say in the description that employees should follow the instructions on their request form. They can eat before their first meeting, and you finish the fasting draws while the building is still quiet.
The room and privacy
Agree with the employer on a closed room with a chair with armrests, a table, a sink or hand gel nearby, and a place for someone to lie down if they feel faint. Say in the description where the room is, such as the meeting room on the second floor.
The booking form takes first name, last name, email and phone, plus an optional note that reaches you in the new booking email and appears in the employee's calendar file. Since the note appears in the calendar file and employees may book from a work computer, ask them not to write which tests are requested or any health details there. Results go to the employee or their doctor as agreed, never in the booking.
Lab runs
Samples need to reach the lab within the time it sets. For a long day, plan a pause in the slots for a courier pickup or a drive to the lab, and keep samples as the lab requires until then. Check with the lab before the day how many samples to expect.
Working with the employer
Send the HR or health and safety contact the link a couple of weeks before, with a short message they can forward to staff. Book doesn't take payments, so agree in advance how the day is invoiced. If the company has several sites, open a service for each site on its own date.
Repeat visits
Some employers run a health day every year or every quarter. Create the next day's service once the date is agreed, and share the link again through the same HR contact.
Changes
Employees can't move or cancel bookings online: they contact you, and you move them to another slot from your bookings list. If the day has to move, tell each employee yourself or through HR, since Book doesn't email clients about changes. Employees who entered an email received a confirmation with a calendar file; Book doesn't send reminders, so HR may want to send one the day before. Your bookings sync with Google, iPhone or Mac calendars. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
