Sophrology cycles before an exam or a birth

Working back from a fixed date: how sophrologists can plan short cycles of sessions before exams, interviews or a birth, and let clients book the whole cycle.

When a client comes with a fixed date, an exam, a competition, an interview or an expected birth, plan the sessions backwards from that date. Agree on the number of sessions at the first appointment, book the whole cycle yourself at a steady rhythm, and keep the last session close to the date. Open the first appointment for online booking, say clearly in the description how many sessions a cycle usually involves in your practice, and leave room to move a session when life gets in the way.

Why a fixed date changes the planning

Open-ended follow-ups can take their time. Preparation for a date can't: the exam won't move, and a birth comes on its own schedule around the expected date. If the client books session by session, the cycle can end up too late, too early, or with gaps just when practice counts. Planning back from the date keeps the sessions useful.

The first appointment

Make the first appointment bookable online as its own service, with a description of what happens and what the client should say in the booking note: the date they're preparing for, what worries them, and whether they've practised sophrology before. You receive an email for each new booking, with the note, so you can check straight away whether there's enough time before the date. If the date is too close for a full cycle, say so honestly and propose a shorter plan.

At that first session, agree on the number of sessions and their rhythm, and explain the exercises the client will practise at home between sessions.

Book the whole cycle at once

Once the plan is agreed, book the following sessions yourself from your calendar, all the way to the last one before the date. The client leaves with every date known, and you're sure to have room for them in the busy weeks. If the rhythm is weekly on the same day, you can create the slots with Book's repeat function, which repeats on the weekdays you choose until an end date, then book the client into each one straight away.

Short check-ins between sessions

Between two sessions, a client practising at home may have a question, or feel that an exercise isn't working. A short check-in, 15 minutes by phone or video, can keep the cycle on track without adding a full session. Create it as a separate service with its own length and price, and open a few slots on the evenings you choose. Clients in a cycle can book it when they need it.

In the last days before the date, a check-in can also replace a full session if the client is short of time, so the preparation doesn't stop just before the moment it was built for.

Exam seasons

School and university exams fall at the same time for everyone in a region, so demand for preparation sessions can arrive all at once. Open first appointments for exam preparation several weeks before the season, and consider a small group cycle for students preparing the same exams: one slot with several places, repeated weekly until the exam week. Parents booking for a teenager can give the student's name and exam date in the note.

When plans change

An exam date moves, a baby arrives early, an interview is brought forward. Reschedule the remaining sessions from your bookings list, or cancel them, and tell the client yourself, since Book doesn't email them when a booking changes. For birth preparation, keeping one or two flexible slots in the last weeks makes it easier to adapt.
