Tax return appointments: one service per type of return
Simple returns, self-employed income, rental income, cross-border situations: how tax advisors can split tax return appointments so each gets the right time.
6 min read
Create one service per type of tax return, with a slot length that matches the work in the meeting, and put the list of documents to bring in each description. A salaried client with one income doesn't need the same hour as a self-employed client with rental property abroad. When clients pick the right service and arrive with the right papers, the meeting is spent on their return, not on finding out what's missing.
Split returns by complexity
| Service | Example slot | Example price |
|---|---|---|
| Simple return, salary or pension | 30 min | €60 |
| Return with rental income | 60 min | €150 |
| Self-employed or freelance return | 60–90 min | €200 |
| Cross-border or expat situation | 90 min | €250 |
| Document drop-off | 15 min | Free |
| Review and signing | 30 min | Included |
These services and prices are examples. On Book, each service has a name, an optional description shown on your page, and a price, and you open slots for each at the length it takes. Clients choose a service first, then one of its free slots, so a cross-border case never ends up in a 30-minute slot.
Put the document list in the description
The description is shown on your booking page, so it's the right place for the checklist. Keep it specific to each service:
- simple return: last year's return or notice, income statements, bank details;
- rental income: rents received, charges, loan interest, works invoices;
- self-employed: turnover, expenses, accounting records if any, social contributions paid;
- cross-border: income and tax paid in each country, residence dates, foreign statements.
Adapt the lists to your country's rules and to how you work. Say also whether you prefer documents in advance, by your usual secure channel, or on paper at the meeting. Book doesn't collect documents: the booking form only takes names, email, phone and a short note.
Keep the note short and non-sensitive
The optional note is useful for context: "first year as a freelancer", "sold a flat this year", "moved abroad in March". It appears in the new booking email you receive and in the client's calendar file, so ask clients not to write tax ID numbers, amounts or bank details there.
Drop-off and review as separate steps
For some clients, you prepare the return between two short visits: a drop-off to hand over documents and check nothing is missing, and a review to go through the return before it's filed. Create both as services with short slots. When the client drops off documents, book the review yourself from your calendar at a date that gives you time to work; enter their email so they get a confirmation with a calendar file.
Couples and households
A joint return can mean two people at the meeting. One booking is enough: the slot is booked in one person's name, and the partner simply comes along. Ask clients to mention in the note that they're coming as a couple, so you plan for both incomes. If a household return is heavier, with two self-employed partners or several properties, point them to the longer service in the description.
Meetings by video
For clients who live far away, a video meeting saves the trip. Book doesn't create video links, so pick your usual tool and send the link yourself after the booking, or put a fixed meeting link in the service description. Create video meetings as their own service, so you know from the booking whether the client is coming to the office or joining online.
Open slots early before the deadline
Tax return appointments bunch up before the filing deadline. Open your season early: create your slots and repeat them on the chosen weekdays until the deadline, so clients who plan ahead can book the quieter weeks. Keep a few slots late in the season for last-minute clients, or close online booking when you're full by not opening more slots.
Your booking page shows times in your firm's time zone, with its name. That helps expat clients booking from abroad, especially for video meetings.
Changes and no-shows
Clients can't move bookings online. If a client calls to move their meeting, reschedule it from your bookings list and confirm the new time yourself: Book doesn't email clients about changes. Book costs €5/month, everything included: unlimited bookings and services, no commission and no contract. It doesn't take payments or fees; invoice clients your usual way.
