Estate agencies: scheduling several agents on one page

How estate and letting agencies with several agents take bookings on one page: valuations per agent, viewings per property, open houses, cover and absences.

An estate or letting agency with several agents can take valuations, viewings and office meetings on one Book page. Give valuations a service per agent or area, such as "Valuation, north side, with Julie"; give each property on the market its own viewing service, opened at the times the agent in charge can show it; and use places for open houses. When a property goes under offer, delete its remaining viewing slots; when an agent is away, move their appointments to a colleague. The agency pays €5/month in total.

How an agency works on one page

Book gives one booking page per business. Each service has a name, a price and an optional description shown on the page, and each slot belongs to one service, sits within one day and has its own number of places. There's no staff field, so the agent's name goes in the service name where it matters. Slots of different services can run at the same time, which is what lets three agents be out on viewings at once.

Durations and places are examples: set your own. You can leave the price empty instead of showing "Free"; a price of zero shows as €0.00.

Valuations by agent and area

A seller asking for a valuation wants someone who knows their street. Give each agent a valuation service for the area they cover, and open slots on the days they're out in that area. Say in the description what to have ready, such as floor area, recent works and the reason for selling, and ask for the address in the note. The agent who values the home can then take the listing, and their name is already on the booking.

Viewings by property

Buyers and tenants choose a property, not an agent. Create a viewing service per property, named after it, and open slots only at times when the agent in charge, or the tenant in a let property, can open the door. Say in the description where to meet and what documents to have ready for an application. When an offer is accepted or the property is let, delete the remaining slots; the service can stay with no free times, or you can rename it for the next listing.

Open houses with places

For a busy listing, split an open house into short blocks, each with a few places, so visitors arrive in small groups. Each online booking takes one place, and a full block leaves the page. Your page doesn't show places left, so the session stays calm without advertising demand.

Office meetings and phone bookings

Buyers who want to talk about financing or a portfolio of properties can book an office meeting in a shared service with one place per agent available. Callers are booked by whoever answers, straight from the calendar; first and last name are required, email and phone optional, and with an email the client gets a confirmation with a calendar file.

What to ask in the note

The booking form takes first name, last name, email and phone, plus an optional note. For viewings, ask whether the buyer has financing in place or, for a let, the move-in date. Don't ask for income figures or documents there, since the note appears in the client's calendar file; collect those through your usual secure process.

The rota

Slots repeat each week on the weekdays you choose until an end date, so each agent's valuation days become one series. Viewing slots for a property are better opened a week or two at a time, since listings change fast. When an agent's days change, delete the remaining slots of the old series and create a new one.

When an agent is away

Clients can't move or cancel online; the agency does it from the bookings list. Rescheduling works across services, so a valuation can move to a colleague's valuation slot in the same area, and viewings stay with the property whoever shows it. Book doesn't email clients about changes, so tell each one yourself, then delete the absent agent's free slots. Every booking syncs with the agency's Google, iPhone or Mac calendar, so the office sees every agent's day. Book costs €5/month for the agency, everything included: unlimited services and bookings, no commission, no contract.

Should viewings be per agent or per property?
Per property: buyers choose a home, and the agent in charge opens slots when they can show it.
How do valuations reach the right agent?
Give each agent a valuation service for their area, with slots on the days they work there.
What happens when a property goes under offer?
Delete its remaining viewing slots; the service shows no free times until you reuse or rename it.
Do we pay per agent?
No. Book is €5/month for the agency, with unlimited services and bookings.
