IT repair shops: booking computer drop-off and collection

How IT technicians and repair shops can let customers book a time to drop off and collect computers: slots with places, what to bring, diagnosis and collection.

Let customers book a short drop-off slot for their computer, laptop or phone instead of turning up at any time. Each slot has a few places, matched to how many devices you can log in properly in that time, and the description says what to bring: charger, passwords written down separately, and a backup if possible. When the repair is done, you book the collection slot yourself. Your bench work isn't interrupted by unexpected arrivals, and every device comes in with the information you need.

Drop-off slots with places

Logging a device takes a few minutes: describing the fault, checking the condition, writing a ticket. On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. Set each drop-off slot's places to how many devices you can log in it; when it's full, it leaves your page.

Phone or tablet drop-off10 min2Free

Lengths, places and prices are examples: set your own. Say in the description whether a diagnosis fee applies and whether it's deducted from the repair.

What customers should bring

  • the device, its charger and any accessory involved in the fault;
  • a description of the problem and when it started;
  • a backup of important files, if the device still works;
  • the login details you need, given on paper at the counter, not in the booking.

The booking form takes first name, last name, email and phone, plus an optional note that reaches you in the new booking email and appears in the customer's calendar file. Ask in the note for the device model and the fault in a few words, and say in the description never to write passwords there.

Choosing drop-off times

Group drop-offs at the start and end of the day, such as 9:00 to 10:00 and 17:00 to 18:00, so the hours between are bench time. Slots repeat each week on the weekdays you choose until an end date. Early morning drop-offs suit customers on their way to work.

From diagnosis to collection

After diagnosis, call or email the customer with the fault and the price, and wait for their agreement before repairing. When the device is ready, book their collection slot yourself and tell them the time; first and last name are required, email and phone optional, and the customer receives a confirmation with a calendar file if you enter their email. Book doesn't send reminders, so that date in their calendar is what brings them back.

Businesses and urgent repairs

A small business with a broken laptop may need it back fast. Offer a separate priority drop-off service with its own price and say in the description what turnaround you can promise. If you collect devices from offices, create a pick-up service with slots in the areas you cover.

Keeping customers informed

A customer without their laptop wants to know where things stand. Give each device a ticket number at drop-off, write it in your own records, and send a short message at each step: diagnosed, waiting for parts, ready. If parts are delayed, say so straight away and give a new estimate. A clear update saves a phone call and keeps the collection date realistic.

New device set-up

Customers buying a new computer may want their data moved from the old one. Offer a set-up service where they drop off both devices together, with a longer slot and a collection booked once the transfer is done.

Data and privacy

Say in the description how you handle customers' data: that you only access what's needed for the repair, and whether you wipe drives you replace. Customers trust a repair shop that explains this before they hand over a device.

Uncollected devices and changes

Say in the description how long you keep repaired devices and what happens after that, in line with the rules that apply where you are. Customers can't move bookings online: they contact you, and you move the drop-off or collection from your bookings list and confirm it yourself, since Book doesn't email clients about changes. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.

How many places per drop-off slot?
As many devices as you can log properly in that time, for example two per fifteen minutes.
Should passwords go in the booking note?
No. The note appears in the customer's calendar file; take login details on paper at the counter.
Who books the collection?
