Dance schools: scheduling several teachers and studios

How dance schools with several teachers take bookings on one page: classes by style, level and teacher, places per studio, terms, private lessons and cover.

6 min read

A dance school with several teachers can run its whole timetable from one Book page. Give each class a service by style, level and teacher, such as "Contemporary, intermediate, with Ana", with places matched to the studio floor; give private lessons a service per teacher with one place. Students book one place each, full classes leave the page, regular students are booked into their weekly class for the term, and when a teacher is off you move students to a cover class. The school pays €5/month in total.

How a team works on one page

Book gives one booking page per business. Each service has a name, a price and an optional description shown on the page, and each slot belongs to one service, sits within one day and has its own number of places. There's no staff field, so the teacher's name goes in the service name, next to the style and level. Slots of different services can run at the same time, which is what lets two studios be in use at once.

Places per studio

Set each class's places from the studio floor and the style: a ballet class at the barre needs more space per dancer than a seated stretch class. Each online booking takes one place, and a full class leaves the page. The page doesn't show places left, so if you want to keep a place for a student moving up a level, set the capacity one lower and book them in yourself.

Studios

Book doesn't know how many studios you have, and slots of different services can overlap, so it won't stop three classes being booked into two studios. Draw the studio timetable first, then create the slots from it, and keep private lessons to the hours when a studio is free.

Trial classes

A new student may want to try a class before committing to a term. Offer a trial class as a shared service with a place or two in chosen classes, and say in the description which classes it covers. After the trial, book the student into the right class for the rest of the term yourself from the calendar. First and last name are required, email and phone optional; with an email, the student or parent gets a confirmation with a calendar file.

Terms and weekly classes

Slots repeat each week on the weekdays you choose until an end date, so each teacher's classes become a series that ends with the term. For regular students, book them into the same class for every date of the term. Book sends no reminders, so those calendar entries are what keep the routine. When the next term's timetable is ready, create the new series before the old one ends.

Rehearsals before a show

Before an end-of-year show, extra rehearsals are booked for the students in each piece. Create a rehearsal service per piece or per group for those weeks only, and book the students in yourself, so each rehearsal lands in their calendar. Delete the regular class slots that the rehearsals replace.

What to ask in the note

The booking form takes first name, last name, email and phone, plus an optional note. For children's classes, ask for the child's name and age. Ask students not to put health details in the note, since it appears in their calendar file; injuries are discussed with the teacher before class.

When a teacher is off

Students can't move or cancel online; the school does it from the bookings list. If a colleague covers the class, keep the slot and tell students who's teaching; if the class is cancelled, rescheduling works across services, so you can move each student into another class at the same level with free places. Book doesn't email students about changes, so message them yourself, then delete the absent teacher's free slots. Every booking syncs with the school's Google, iPhone or Mac calendar. Book doesn't take payments or manage term packs; say how students pay. Book costs €5/month for the school, everything included: unlimited services and bookings, no commission, no contract.
