Event assistants: booking on-the-day support shifts
How freelance event assistants can let planners and hosts book on-the-day support online: half-day and full-day shifts, one slot per date, briefs and changes.
6 min read
Offer your on-the-day support as shifts that planners and hosts can book online: a half-day and a full-day service, each opened as one slot with one place on the dates you're available. When a date is booked, it disappears from your page, so you can't be double-booked. Ask at booking for the event type, the venue and the hours, and agree the detailed brief in a short call before the day. Planners get a reliable extra pair of hands, and you fill your calendar without chasing each date.
Shifts as services
On Book, each service has a name, a price and an optional description shown on your public page, and each slot belongs to one service, sits within one day and has its own capacity. Name each service by the shift and say in the description what's included: set-up, guest welcome, timing the running order, supplier coordination, pack-down.
| Service | Example slot | Example price |
|---|---|---|
| On-the-day support, half day | 5 h | €180 |
| On-the-day support, full day | 10 h | €320 |
| Set-up or pack-down only | 4 h | €140 |
| Briefing call before the event | 30 min | Free |
Durations and prices are examples: set your own, and say whether travel and meals are included.
One slot per date
Open one slot per available date, with one place, in the shift service that fits. On busy dates, you can open both a half-day and a full-day slot; once one is booked, remove the other so the date isn't taken twice, since Book doesn't stop slots of different services from overlapping. Open dates a few months ahead for wedding season, and keep a few weekdays for corporate events.
Who books
Wedding planners, event agencies and private hosts may all book you. Say in the description who you work with and whether you work under the planner's direction or as the main contact on the day. If an agency books several dates at once, book them yourself from your calendar after a call; first and last name are required, email and phone optional, and the contact receives a confirmation with a calendar file for each date if you enter their email.
What to ask at booking
The booking form takes first name, last name, email and phone, plus an optional note that reaches you in the new booking email and appears in the booker's calendar file. Ask in the description for:
- the event type and number of guests;
- the venue and town;
- your start and finish times;
- who you report to on the day;
- dress code and any equipment to bring.
The brief before the day
A short briefing call the week before covers the running order, supplier contacts, key moments and what to do if something goes wrong. Offer it as its own short service the booker can choose, or book it yourself once the shift is confirmed. Ask for the running order and supplier list by email before the call.
Travel and long days
Say in the description which area you cover without extra charge, and how far you'll travel. For a full day far from home, plan the drive back before you confirm, and avoid booking an early shift the following morning. Your bookings sync with Google, iPhone or Mac calendars, so you see each event alongside your other commitments.
Repeat work with planners
A planner who likes working with you may want you for several weddings in the season. At the end of an event, ask which dates they have coming up and book them yourself straight away, so those dates leave your page before someone else takes them. A short debrief by email after each event, with what went well and what to change, makes the next booking easier for both of you.
Changes and cancellations
Bookers can't move or cancel online: they contact you, and you move the shift from your bookings list and confirm it yourself, since Book doesn't email clients about changes. Rescheduling works across services, so a half day that grows into a full day can move to the full-day service. Say your cancellation rule in the description, especially for dates in wedding season. Book doesn't take payments, so say how and when you're paid. Book costs €5/month, everything included: unlimited services and bookings, no commission, no contract.
