Opticians: scheduling several opticians and test rooms

How optician shops with several opticians take bookings on one page: eye tests per optician, fittings and collections for any optician, test rooms and absences.

6 min read

An optician shop with several opticians can take every appointment on one Book page. Give eye tests a service per optician, such as "Eye test with Clara", because each test needs the room and the person qualified to run it; put frame fittings, collections and adjustments in shared services whose slots have one place per optician on the shop floor. Open slots that follow the rota, and move clients to a colleague when someone is away. The shop pays €5/month in total.

How a team works on one page

Book gives one booking page per business. Each service has a name, a price and an optional description shown on the page, and each slot belongs to one service, sits within one day and has its own number of places. There's no staff field, so the optician's name goes in the service name where it matters. Slots of different services can run at the same time, which is what lets one optician test eyes while another fits frames.

Lengths are examples: set your own, according to the rules that apply to your shop. Each service can show a price if you wish; leave it empty to hide it.

Eye tests need a room and a person

An eye test ties up one optician and the test room for its whole length. Book doesn't know you have one test room, and slots of different services can overlap, so it won't stop two opticians' tests being booked at the same time if you only have one room. Plan it when you open slots: alternate test sessions between opticians, for example Clara in the morning and Yanis in the afternoon, and only open each optician's test slots in their sessions.

Fittings and collections for any optician

Choosing frames, collecting glasses and getting them adjusted don't need a particular person. Put them in shared services and set each slot's places to the number of opticians on the shop floor at that hour, after deducting whoever is in the test room. When both places at 11:00 are booked, the slot leaves your page and the next client picks another time.

Contact lenses

A first contact lens fitting takes longer and includes teaching the client to put lenses in and take them out. Give it its own service per optician who does it, with a longer slot, and book the follow-up check yourself before the client leaves.

Saturdays and busy periods

Saturdays and the weeks before school starts can bring more fittings and collections than a normal weekday. On those days, open more places in the shared fitting and collection services if you have extra staff in, and keep eye tests to the sessions where the room is free. Opening these extra slots as their own series, with an end date after the busy weeks, keeps your regular timetable untouched. If a day fills up, the page simply shows the next free times, and the counter can still book a caller into any slot that's left.

What to ask in the note

The booking form takes first name, last name, email and phone, plus an optional note. For tests, ask what to bring, such as current glasses, lenses or a prescription, in the description rather than in the note; ask clients not to describe eye problems or health details in the note, since it appears in their calendar file. For collections, ask for the order number.

The rota

Slots repeat each week on the weekdays you choose until an end date, so each optician's test sessions and the shop's fitting slots become their own series. On days with fewer opticians in, lower the places on shared slots. When the rota changes, delete the remaining slots of the old series and create a new one.

Phone bookings and the counter

Clients who call or walk in are booked from the calendar into the right slot. First and last name are required, email and phone optional; with an email, the client gets a confirmation with a calendar file. When glasses are ready, book the collection slot yourself and tell the client the time; Book sends no reminders, so that calendar entry is what brings them back.

When an optician is away

Clients can't move or cancel online; the shop does it from the bookings list. Rescheduling works across services, so Clara's eye tests can move into Yanis's free test slots, and fittings simply stay in the shared service. Book doesn't email clients about changes, so call or message each one, then delete the absent optician's free slots. Every booking syncs with the shop's Google, iPhone or Mac calendar. Book doesn't take payments. Book costs €5/month for the shop, everything included: unlimited services and bookings, no commission, no contract.

Should eye tests be booked per optician?

Will Book stop two tests in one room?
No. Slots of different services can overlap, so alternate test sessions between opticians when you open slots.
Can any optician do fittings and collections?

Do we pay per optician?
No. Book is €5/month for the shop, with unlimited services and bookings.
